Managed Phone Assistant

Your phone gets answered — even when you can't pick up.

On the roof, with a patient, after hours: a digital phone assistant answers calls in a friendly voice, handles standard questions and writes down what the call was about. I set everything up and stay your single point of contact.

Explained simply

What is a phone assistant?

A phone assistant is software that answers your phone with a natural voice when you can't. It greets the caller with your company name, listens, answers the usual questions — and when it matters, the request lands with you, neatly written down.

The most important part: you don't need to know how to operate any of it. Together we define what the assistant may answer, when it forwards a call and how it greets people — and I adjust it whenever something changes on your side.

Examples

What the assistant takes over for you

Answer calls & take notes

No busy signal, no voicemail greeting: the caller is welcomed in a friendly way, their request is recorded — and you get it in writing.

Handle standard questions

Opening hours, directions, "Do you also do …?" — the assistant answers the same questions instantly, without interrupting you.

Take appointment requests

The caller names their preferred date, the assistant notes it down neatly — you confirm when it suits you. No more paper chaos.

Forward what matters

Emergency or regular customer? What's really urgent gets put through to you directly — everything else reaches you later, at your pace.

Reachable after hours

Evenings, weekends, holidays: callers reach someone instead of a voicemail — and you don't lose a job because nobody picked up.

Everything in writing

After every call you get a short summary: who called, what it was about, what needs doing. One glance instead of listening to voicemails.

How it works

Your phone gets answered in three steps

1

We talk briefly

What calls do you get, what should the assistant answer, when do you want to pick up yourself? A short conversation is enough.

2

I set it up

Greeting, answers, forwarding rules — I build everything and we test together until it sounds right.

3

It runs — managed

New opening hours, new services, different greeting? One message to me is enough — I keep the assistant up to date.

The technology behind it

Strong technology, personally managed

The technology behind the assistant comes from nuvoca, based in Hamburg — specialists in phone assistants for small and mid-sized businesses. I take care of setup, adjustments and ongoing care, so you don't have to deal with anything.

Prices

What it costs

What the assistant should be able to do differs from business to business — a clinic needs different things than a roofer. That's why there is no price list here, but a short first conversation: afterwards you get a fixed price for setup and care, before anything starts.

First conversation

€0 no strings attached

  • Together we figure out which calls the assistant should handle — and whether it's worth it for you at all.
  • Honest assessment: if a simple voicemail does the job, I'll tell you.

Setup & care

Fixed price after the first conversation

  • Everything set up: greeting, answers, forwarding — fully tested before the first customer calls.
  • Continuously managed: I take care of changes, you just send me a message.
  • You see the price before you say yes — like with everything here.

? Extra costs
The phone technology itself has usage costs at the provider — they depend on how many calls the assistant handles. We clarify this transparently upfront, just like with domains and email.

Honestly: an answering machine is free. If your callers are happy to talk to a machine tape and you enjoy listening to voicemails in the evening, that's perfectly fine — use one. With me, you pay for the fact that someone actually answers, that standard questions are handled on the spot, that no call gets lost — and that a real person picks up when the assistant itself ever needs attention.

How many calls are you missing right now?

Tell me briefly what your phone situation looks like — I'll tell you honestly whether a phone assistant is worth it for you.
